Delivering Data to Automated Processing via FTP

Compress your Files

Before you FTP the files to us, you will need to compress the files first. Place the files to be processed in a container using ZIP or RAR. You can include any type of file: Exchange, Notes, MBOX, other compressed formats and loose files in your ZIP. You can easily send multiple ZIP or RAR files concurrently via FTP.

ZIP and RAR files must not have special characters or spaces, such as %, @, (,), etc. It is best to use alphanumeric characters, and you can use dashes or underscores to separate words, e.g. large-file-name. We do not support multi-part ZIP or RAR files.

Keep individual submissions of to a maximum of 25 GB for ZIP or RAR each and 25 GB for PSTs. (There is no need to zip PST files because they are already in a container.) 

Use the RAR format for foreign language documents. ZIP files are not Unicode compliant. If you submit foreign-language files using ZIP, it may mangle the file names and it does not keep track of the language settings on the user's machine. As a result, non-Unicode pages may not be processed correctly. RAR files also record the language settings on the user's computer. We can track this information and use it to better process non-Unicode files.

Upload to FTP

We will provide FTP credentials for you to use. Login to the Catalyst FTP site using a program like FileZilla. A Catalyst  FTP site provides:

Click your case folder and open the P2dropbox sub-folder to see the individual custodian folders. There is also an Unknown folder for files with no custodian.

Daily sub-folders are created automatically for each custodian on your list. When you are ready to FTP your files, place them in the daily folder under the appropriate custodian.

You can submit multiple files to different folders at the same time. Your FTP client should support concurrent transmission of multiple files.

If you submit a hard drive or other physical media (USBs, CDs or DVDs), please organize your documents into custodian folders with names that match those on your list.

Sub-Collection

Documents will be processed and placed in the named sub-collection. If your site does not have sub-collections, the files will be placed in the General sub-collection.
